Robotic Process Automation

A document management system (DMS) is file management software that enables collaborative sharing of and working from documents within and outside of an organisation.

A key function of the DMS is the ability to create and manage workflows associated with the creation, updating, review, and finalisation of documents.

The DMS will typically be able to provide a full audit trail relating to the lifecycle of a document, showing who viewed, updated, or deleted the document.



Security is a core deliverable of a DMS, and encryption is an essential feature.

A Content Services Platform (CSP)  and Enterprise Content Management  (ECM) are further terms for a DMS.




Document Management System / Software (DMS) 

Software that digitises the contract review and signing process, removing the need for physical contracts. 

An audit trail including electronic evidence of signature is retained.

E-Signature software is almost exclusively cloud software as a service or SAAS.

E-signatures software provides different levels of identity assurance.  The basic includes the e-signature with audit trail. The more sophisticated levels include authenticity certificates generated on the back of confirmed steps and identifiers in the signing process and / or further levels of identity assurance of the signer (which can be provided by by a Qualified Trust Service Provider (QTSP).

The basic is known as Standard electronic signatures (SES).

Advanced electronic signatures (AES or AdES) software is the software that requires further user identity assurance.

Qualified electronic signatures (QES)  software is the highest level - where a Qualified Trust Service Provider (QTSP) provides further confirmation of the identity of the signatory, and ensures that the document could only have been signed by that signatory.
